Your Mission
As our first internal office events coordinator, your main focus will be ownership of the internal events calendar. This will be a unique opportunity to contribute to company business growth goals, by supporting the employee engagement strategy, talent acquisition events, customer events and internal playtest events all of which play a vital role in the success of our scale-up business.
You will have the opportunity to be a real advocate for employee engagement within Improbable by building and running a calendar of events that tie into the culture of the company and the games industry.
You will join a fun, hardworking, energetic, and supportive team and will be constantly challenged in a modern, fast-paced environment and will also support the team on reception to ensure that all staff and guests of Improbable have an outstanding experience.
Supporting a growing company you will exercise flexibility and problem-solving abilities to adjust and prioritise based on frequent, last-minute changes, using a high level of integrity and discretion with confidential information.
Responsibilities
- Coordinate and be the point of contact for all internal office events and company socials, prioritising and managing internal stakeholders through event planning and execution.
- Act as a venue manager for all events held within the office, building and owning a calendar of events.
- Build external supplier and vendor relationships and internal cross-collaborative relationships relating to internal event management.
- Set and manage individual event budgets and manage the wider budget for the employee engagement calendar of events.
- Ensure health & safety and security considerations are in place for every event/initiative.
- Support the smooth running of the office reception, actioning and responding to all requests, and managing visitors to the office.
- Prepare for and welcome all new joiners to the company, and help to set up our end of week snacks and drinks.
- Drive projects to improve our employee and guest experience with a strong connection to culture.
Competencies
- An interest in the games industry and our mission to create meaningful virtual worlds.
- Proven experience planning and running a range of different types of events of varying sizes and audiences, solving unforeseen situations as they arise in a calm manner.
- Demonstrable experience in a customer service environment, with an inherent drive for going above and beyond to anticipate and meet the needs of staff or ‘internal customers’.
- Solid interpersonal and communication skills, both spoken and written. You understand how to adapt your style to best interact with different people across different job functions and levels.
- Highly social, with a can-do attitude, high energy levels, approachable, with the ability to react to last-minute changes, innovate and work creatively.
- Problem-solver, speedy at taking action, tackles tasks or problems head-on, using own resourcefulness and initiative to get things done and overcome challenges along the way.
- Team player, works well in a team environment and are able to collaborate easily, giving and receiving suggestions and criticism gracefully.
- Dedicated, driven and proactive. Once settled in a role, you don't need to be told what to do... you know! Striving to go above expectations and always looking at ways to improve.
- Flexible schedule to include working evenings when required.
