Office Coordinator

Avalanche Studios Group has been growing and evolving for the better part of two decades, and we’re not about to slow down! To help create and maintain a world-class workplace experience for employees in our Liverpool location, we’re now looking for an Experienced Office Coordinator who is passionate about creating ideal conditions for wellbeing, efficiency, and stability in a creative and fast-paced environment.
You’ll join the support team in Liverpool where you’ll work alongside and report to the Location Manager. You’ll also be a part of our global Operations team, with the opportunity to impact and improve our ways of working worldwide through cross-functional coordination with IT, People, Finance and Communications teams. As a part of the support team, you’re in charge of our facilities in Liverpool and making sure that the office is welcoming, tidy, and fit for current as well as future needs.
The responsibilities of the support team are diverse and touch upon many areas throughout the organization, which is why you’ll play a significant role in making Avalanche Studios Group a great place to work. You’ll take part in internal projects related to wellness initiatives, on- and offboarding processes, contract management, company travel, and event planning, to name a few.

The job is varied and challenging and the ideal candidate to join will be a self-starter, who is able to effectively and efficiently prioritize tasks, be detail-oriented, have good all-round administrative abilities, people skills and a positive, confident, can-do attitude. You will work alongside and report to the Location Manager whilst supporting operations and IT in this role, which encompasses many aspects of facilities management as well as full administration and coordination of the office and reception areas.
Responsibilities
- Hosting visitors and guests on-site, sending NDA’s, getting refreshments, setting up meeting rooms as needed and ensuring compliance with H&S requirements
- Acting as a point of contact for incoming calls
- Implement and review relevant risk assessments: office, fire, first-aid, manual handling etc.
- Assisting with onboarding for new starters, ensuring they have received all equipment required, received health and safety guidance, tour etc
Requirements
- Distributing received post and deliveries and arranging for outgoing items to be sent via mail and courier
- Maintaining a tidy and organized environment, and being the liaison with external cleaning staff
- Taking ideas for great workplace perks and making them a reality
- Keeping the studio in a good stock of consumables, refreshments and stationery
- Negotiation and oversight of routine maintenance and supplier contracts
- Being on top of arranged office maintenance, repairs, modifications etc. to ensure employees are aware, and disruption avoided
- Company & project event planning, leading or supporting special projects or initiatives on an ad-hoc basis
- Assisting with travel and accommodation arrangements and booking for staff and interview candidates
- Ensure implementation and compliance with Fire, and Health and Safety legislation including training
- Managing projects; organizing building / office repairs / maintenance, social events, diary management.
- Strong interpersonal skills; someone who is a proactive, team player
- Personable and open-minded individual, with the ability to fit into a dynamic and creative team environment
- Proven organizational skills – with a proven ability to multitask, plan and prioritize with ease
- Excellent problem-solving skills, and the initiative to tackle challenges
- Excellent communication skills, both verbal and written, is essential
- Hands-on experience with PC and Windows, including competency with MS Office and G-Suite (Gmail, Google Calendar, Google Drive). Experience of using Trello for project management tasks is a bonus.
- A self-starter; who is self-motivated and likes a busy and varied role
- The ability to demonstrate integrity and ensure discretion and confidentiality at all times
- A professional and diligent individual who values attention to detail – all tasks must be carried out to a high standard
- Recent / current experience of 3+ years in an Office Coordinator role. Previous experience in hospitality / customer service in addition is a bonus.
