As an Office Assistant, you will have endless opportunities to make an impact and demonstrate your creative and innovative approach to problem solving. You will oversee all daily office operations, including managing communal spaces and liaising with external contacts and vendors; you will also streamline daily operations. In addition, responsibilities include project coordination, office relocation, along with working closely with a global team. Some duties include:
- Front desk/reception
- Lunch & catering management for Beijing & Shanghai teams.
- Handling all office-related administrative work.
- Working with vendors to make sure office supplies, snacks, & drinks are always stocked.
- Coordinating the Health and Safety of office space.
- Keeping the office tidy at all times and keeping things organized.
- Adhering to local office health and safety requirements, including coordination of daily cleaners and office sterilisation.
- Coordinating office relocation from end to end.
- Employee travel bookings and coordination.
- Facilitating Marketing and events department
- Working closely with finance team relating to invoicing, and other necessary tasks.
- Reviewing and processing incoming invoices and receipts.
- Responsible for financial administration of office operational expenses

Requirements:
- 1+ years of previous working experience.
- Exceptional communication skills in Mandarin and English, liaising with outside contacts, vendors, and all levels of management and staff.
- Tenacious self-starter with a high level of initiative and strong follow-through.
- Excellent judgment and outstanding analytical skills to facilitate logistics for special projects and events.
- Experience in booking travel, setting itineraries, and finding the best service.
- Highly organized with the ability to prioritize competing interests in a fast-paced environment.
- Must be able to confidently and effectively handle multiple assignments at once.
- Proactive problem solver with the ability to take the reins on various projects and duties.
- Warm, outgoing, and diplomatic with a poised professional demeanour; able to work independently or alongside a team.
- Tech savvy with advanced proficiency with MS office and Google Docs.
