We have a fantastic opportunity for an experienced individual to join this fun, collaborative and people-first business. The Legal Operations division serves to inject a new "center of excellence" by implementing and using progressive systems and technologies, compelling strategies and goals, policies, procedures, training, communication, retaining talent, building strong cultures, and measuring performance. The Legal Operations Clerk will assist the Project and Solutions Manager – Legal Operations and the Senior Director of Global Legal Operations in the day-to-day business activities of the Legal Operations division. The successful individual will be involved in all the areas of the global legal team that facilitate the business of law and the four core functions of the Legal Operations division, which are: financial management, systems and technology, department operations, and human resources. The Legal Operations Clerk will work virtually, from almost anywhere within the United States. The ideal candidate will be proactive, efficient, highly organized, detail-oriented, discreet, and comfortable juggling multiple priorities. The role is an excellent opportunity to continue your legal experience with the rapidly growing field of legal operations on a friendly and dedicated remote legal team.What You'll Do
- Assist with financial management, vendor management, contract management, human resources, operations, systems and technologies, knowledge management, and project management
- Assist with the daily business operations of the Legal Operations division
- Assist with researching, resolving, and responding to billing inquiries on a timely basis, leveraging the contract management system, DocuSign CLM, the Ebilling system, LegalTracker, and the matter management system, eCounsel (collectively, the “Systems”)
- Communicate and maintain regular communication with billing contacts from internal staff, outside law firms, and legal support providers
- Process invoices and subscriptions for the department
- Assist with training and technical support for the Systems
- Assist with ensuring the integrity of data and efficiency of the Systems, including auditing data entry
- Assist with compiling metrics and reports from the Systems
- Assist with creating new matters, vendor setup, and submission of electronic billings
- Assist with developing, monitoring and updating internal knowledge management items
- Assist with the preparation and distribution of communications
- Assist with facility requests, equipment requests, and on-boarding/off-boarding of staff
- Assist with the maintenance of contract attributes in DocuSign CLM
- Assist with filing emails, contracts, and other documents in the Systems
What We're Looking For
- Minimum 2 years’ legal experience at a law firm, in-house corporate legal department, or equivalent experience
- Bachelor’s degree, Paralegal certificate, or equivalent experience is preferred
- Self-motivated team player
- Ability to work remotely
- Excellent interpersonal, communication, and writing skills
- Efficient, detail-oriented and organized
- Excellent technology skills
- Ability to uphold and demonstrate the highest level of integrity in all situations and recognize standards required by a regulated business
- Ability to work in a dynamic, fast-paced, metric-driven environment and adapt quickly to changing priorities
- Ability to work autonomously as well as cross-functionally with other teams and to build effective working relationships with individuals at all levels of the organization
- Must possess a working knowledge of legal terminology and principles
- Advanced Microsoft Office, Word, Excel, DocuSign, and Adobe skills
