Designation :- Inventory Lead

**Note**:
Final Designation/Level will be decided based on the relevant experience and interview ratings.

Job Summary: We at Ubisoft are looking for a candidate having areas of expertise and experience inUnderstanding of end to end IT Asset Management, Inventory tracking , Service Now tool and one who is well versed in Excel and computer.

Job Specifications:

Knowledge

· Process

• Be aware of the processes, well know all the process linked with the asset life cycle
• Propose new process
• Communicate if a process can’t be applied

· Tools

• Be trained to all the tools linked to asset management
• Read the tools’ documentation

· Local organization – identify your key contacts

• Identify team in charge of procurement, assets
• Meet people and collect their needs around asset management, ITAM information are usually interesting for Project team, Financial planning and accounting

Daily job:

· Hardware/software reception

• Tag the assets, for the physical assets based on the process

· Hardware/software création

• Cérate the asset :-

1. Asset identification
2. Financial information (collect PO information)

· Hardware/software deployment

• Tag the workstation
• Create the software entitlement (the entitlement can be added automatically through GNStools or manually)

· Hardware/software asset life cycle

• Update the tool each time that an asset move, as a new owner

· Hardware/Software end life

• Collect the asset and follow the internal process

Manage annual declaration

• WW contract : Microsoft and Adobe annual declaration : communicate your figures to ITAM
• Local contract : To run Physical Hardware Inventory every year

Limit the external audit

• Be sure that all the products used inside the studio are legally used

You must justified the right to use the product through a PO or the terms of use for free product

ITAM and category Manager will provide support

Tools and there uses

· ServiceNow

• Updation of Hardware Assets (New and old ones) for workstations, servers and Network devices
• Categorize department wise and generate report on monthly basis.

· KITS

• Update Video game consoles in KIT application
• Genrate report and share with HODs everymonth.

· FAMS

• Finance tool to manage Fixed assets
• Generate PO once asset is recieved and share with Purchase team
• Generate report every month and match with ServiceNow and Kits

Controls and objectives of the controls:

· Weekly – sanity checks

• With the help of the report check

1. Software compliance
2. SCCM agent
3. Hardware in use not in SCCM
4. All data is completed for the assets (Po info, product name…)

· Regular checks – Financial checks

• Limit the expenses

1. Remove the unused software based on the last usage
2. If the quantity increase justify the evolution
3. Propose alternatives solutions (ex : instead of photoshop propose photoshop element)

• Anticipate the expenses

1. Help your manage to choose the best solution
2. Share with ITAM all new events

· Compare with other location – Activity checks

• Help to better manage your organization, ITAM will share some KPI

Share the information

• Give value to ITAM data’s, share them with the teams inside the studio

Communication

A regular meeting can be planned with ITAM

• Inside the office
• Help your manager to choose the best solution and limit the cost
• EBS/ITAM
• If you notice a problem with the tools inform EBS/ITAM
• Share your best practices

Requirements:

• Any Graduate with having experience of working in Inventory management and Service Now tool for at least 5-6 years.
• Should be well versed in excel and computer.
• Managed atleast 3-4 team members
• Knowhow of Inventory management
• Good analytical and communication skill in English
• Should be self-organized and proactive
• Energetic and motivated to work in challenging environment
