Immigration Specialist

The Epic Games Immigration Specialist serves as the central point of communication and information among the various stakeholders of our active and potential immigration cases including: new hires, current employees, hiring managers, current managers, recruiters, HRBPs, and Epic’s designated immigration attorneys. The purpose of this position is to provide excellent customer service to new hires and current employees actively pursuing work sponsorship to create a smooth transition process as well as to navigate the immigration space in order to help Epic achieve its business goals.
Responsibilities:
- New Hire Immigration Cases:
- Serving as the point of contact for recruiters as they explore the viability of employment sponsorship for potential candidates
- Exploring options for employment sponsorship and communicate process timelines to Recruiting team
- Regularly and proactively communicating status to stakeholders
- Escalating immigration issues and provide suggestions when the process takes an unexpected turn
- Owning internal processes for application preparation and filing.
- Current Employee Immigration Cases (New Visas, Extensions and Permanent Residency)
- Managing timelines and internal application processes for new and extension cases globally
- Owning internal processes for permanent residency requirements including recruiting management, applicant communications, and application preparation
- Proactively working with employees and their managers to communicate statuses and timelines
- Guiding employees and their families through all processes and conversations
- Vendor Management
- Receiving invoices for Immigration-related services, reviewing for accuracy, tracking for trends and escalating for approval
- Communicating expectations to vendors effectively, escalate issues as appropriate, suggest alternative processes to ensure efficiency, accuracy and improved customer service
- Program Development/ Management
- Working with the Recruiting team to ensure training of current immigration processes and restrictions
- Working with HR Business Partners to ensure they understand the impacts of job changes on visa holders
- Managing annual U.S. H-1B CAP campaign in partnership with U.S. immigration vendor
- Providing visitor invitation letters as needed for visitor visa applications and short term travel
- Ensuring immigration data is accurately maintained and that the organization's immigration compliance records have an appropriate level of data security
Qualifications:
- Customer-service focused
- Strong attention to detail and good editing skills
- Excellent organizational, planning, and follow up skills
- Ability to work within tight deadlines and handle confidential employee information with discretion
- Experience with Google Suite, a plus
