IT Purchasing & Asset Specialist

Overview
We are seeking an IT Purchasing & Asset Specialist to join the corporate IT team. Your focus will be supporting the administrative side of the corporate IT department with your energy and attention to detail. You will work with a team of administrative experts to ensure smooth purchase approvals, timely bill payments, that assets are tracked from delivery to deployment, and more!
Responsibilities
- Develop close working relationships with studio support teams, IT Managers, Legal, Purchasing, Finance, Tax & Accounts Payable
- Enter purchase requests (PRs), and then follow-up on PRs to track approvals, answer Accounts Payable questions, and ensure execution of contracts and delivery of licenses / hardware.
- Assist with Receiving assets and help build processes to improve asset tracking.
- Review and price shop for commonly purchased items to ensure we get best pricing available.
- Co-term licenses when applicable and start renewal process months in advance.
- Work with new vendors to gather appropriate information (tax forms, etc.) and ensure that vendors are set up correctly in our accounting system.
- Establish a positive working with all vendors.
Qualifications
- Strong attention to detail with strong organizational skills
- Customer service skills – you are comfortable dealing with a variety of different personalities via email or message platforms.
- Ability to adapt to changing & evolving environments
- Basic knowledge of computer components and software licenses
- Excellent verbal and written communication skills
- Highly collaborative approach
Preferred Skills
- You can read through an order form and quickly grasp the fundamentals of what is being agreed upon. Bonus points if you can do the same with a Contract.
- You have good familiarity working within the rules of a corporate accounting system.
- Knowledge of basic accounting terminology.
- Knowledge of Procurement and Credit Card Reconciliation forms.
- Knowledge of Oracle, or similar enterprise financial database system.
