Summary:
Age of Learning Inc. is looking for a Sr. Benefits Specialist who has strong business and HR acumen and knows how to achieve results that make a lasting impact within the company. You will be required to utilize your problem-solving, critical thinking, and analytical skills in all your day-to-day responsibilities. You will be a key member of the team that spearheads Age of Learning’s Benefits and Compensation functions on a national level, as we continue to grow in more states. This role is instrumental in guiding employees and managers on Age of Learning policies and procedures.
1. Are you capable of administering benefits to include vendor management, 401(k) administration, and capable of overseeing the filing of 5500s?
2. Are you comfortable administering benefits based on your knowledge of ERISA requirements and laws at the federal, state, and local levels?
Responsibilities:
- Manage the benefits administration function to include vendor management and concise communication of benefit plans.
- Oversee the maintenance, auditing, and validation of benefits data within HR systems by compiling reports from the database; conducting periodic HRIS audits; and working with the HR leadership team to ensure data integrity.
- Assist with the evaluation of health plans and work with the benefits broker to obtain new plan bids during renewals.
- Oversee the Open Enrollment process.
- Reconcile monthly billing for benefit plans and communicate accurate costs to the Accounting team.
- Analyze all benefits to establish competitive programs and ensure compliance with legal requirements.
- Assist in the continuous effort to enhance the onboarding process and new hire experience.
- Co-facilitate benefits orientations, and as needed, new hire orientations and onboarding program events.
- Organize and promote wellness initiatives to employees.
- Maximize survey data utilization by ensuring the business units follow the policies and practices that our benchmarking is based on.
- Analyze compensation and benefits to establish competitive programs and ensure compliance with legal requirements.
- Support the development and communication of our evolving total rewards principles, philosophy, and strategy.
- Take initiative and action to respond, resolve, and follow up on issues when they arise, or have the potential to arise, with employees and/or vendors in a timely manner.
- Partner with the HR team to create SOPs for Benefits processes and programs.
- Handle ad hoc projects as needed.
- Lead the company’s leaves of absence and workers compensation administration to ensure that leaves, accommodation requests, and workers compensation claims are processed and managed timely and effectively, and in compliance with applicable laws.
- Comfortable and familiar with ERISA requirements and employment laws at the federal, state, and local level.
- Communicate with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
- Handles the leave administration process from the employee’s initial notice to the return to work. This includes determining leave eligibility, gathering, and completing all required paperwork and tracking.
- Calculate salary continuation payments and parental leave benefits for employees on LOA based on the company policy and applicable state programs.
- Maintains reasonable communication with employees on leave to facilitate a smooth and timely return to work.
- Drafts and recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
- Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
Required Qualifications:
- 3+ years of HR experience, with a concentration in Benefits Administration.
- 2+ years administering leaves of absence.
- Experience supporting a compensation program.
- Excellent organizational, problem solving, and analytical skills.
- Ability to demonstrate and handle multiple tasks accurately and efficiently.
- The desire to learn and go “above and beyond” is an absolute must!
- Understanding of, and ability to apply, established HR practices and procedures.
- Understanding of, and ability to apply, federal, multistate, and local employment laws.
- Effective communication and decision-making skills.
- Strong written, verbal, and presentation skills.
- Four-year college degree or relevant Human Resources experience.
Preferred Qualifications:
- A professional human resources certification.
- Above-average knowledge of Microsoft Office. Especially the ability to easily run and create functions, pivot tables, and charts in Excel.
