About the Role:
This position will be a hybrid position of HR Administrator and Office Manager reporting into the Human Resources department. The role will function as the Office Manager and be responsible for ordering supplies, working with vendors, and managing the office on a day-to-day basis in addition to providing administrative support to the HR team. The role will also ensure the effective and efficient support of the HR department by heading up the monthly event planning, maintaining all employees’ files and systems, and managing the new hire onboarding process. This role requires someone with a positive attitude and high energy who will be enthusiastic and proactive in approaching our HR/office needs. Someone who is enthusiastically willing to take on whatever comes their way, from Finance and payroll support to Office Management, HR, Employee Engagement and beyond. What you’ll do:
You will work closely with the London-based HR Manager and the Head of Studio in Tel Aviv to provide advice and guidance to the team, implement and maintain strong HR and Facilities processes and procedures and help us drive forward an open and engaging culture of continuous learning. Your main responsibilities will be to the Tel Aviv team, focusing on Employee engagement, training, learning and development, social events and staff welfare.
You will:
- Coordinate new hire onboarding process including entering the new hire into HR systems, conducting the new hire orientation, liaising with our payroll and benefits partners and requesting building access cards
- Own the people development process locally, creating and managing workshops, organizing off-sites, collating ideas for conferences, managing budgets. Etc.
- Maintain HR Systems and generate reports to support business needs
- Organise and own the event planning for the Tel Aviv studio, planning of our monthly events and coordinating with vendors to obtain any necessary food, drinks, decorations/etc.
- Create and maintain employee welfare/engagement schedule
- Ensure HR, Finance and Office Management policies and procedures are in place and adhered to
- Support all travel logistics, planning, expenses, etc. as needed for the local team
- Be the ‘right-hand’ for the Head of Studio in all operational matters, including preparing slides, collecting information, assisting with presentations and generally helping ensure the smooth running of the office
- Maintain visitor records as needed and manage building access card system
- Be the first point of contact for any visitors and coordinate with office security regularly for any vendors or visitors coming in
- Order supplies and coordinate with vendors for the delivery of services and supplies
- Work with the Finance team and ensure all budgets and financial records are kept in good condition
- Keep kitchen area fully stocked and make recommendations for most efficient use of the office budget for employee engagement purposes
- Act as the first point of contact for general HR questions and requests
- Coordinate the scheduling of conference rooms as needed
- Ensure all common areas look professional and are properly equipped and supplied
- Work with building maintenance to coordinate any necessary repairs to and cleaning of office space
- Other duties as assigned in line with overall studio happiness
Requirements:
- Positive and energetic approach
- 2 years’ experience in HR/administrative support role or customer service/hospitality role
- Excellent written and verbal communication skills in English and Hebrew
- Strong project and time management skills
- Excellent customer service and interpersonal skills
- Strong attention to detail
- Ability to keep confidentiality in all HR matters
