Freelance Dubbing Production Coordinator

The Opportunity

The Dubbing Production Coordinator will be responsible for organizing resources and managing schedules both for internal and external resources and studios to efficiently plan the bookings, in compliance with the Producer and the projects requirements. The Dubbing Production Coordinator will oversee the correct development of daily recordings, solving any problems that may take place in the studios. This role is 100% on-site at our office in São Paulo. Please keep this in mind when applying.

Responsibilities

• Be the main point of contact between the studio and the voice talents.
• Book talent, directors, and engineers for recording sessions taking place at Keywords Studios Brazil facilities and/or external studios.
• Create and maintain various project calendars and trackers.
• Work with the Media & Entertainment team to ensure proper prioritization and update Producer daily on project status.
• Allocate studio and vendor resources to schedule recordings, prioritizing projects and recording windows.
• Prepare materials for the recording sessions and send to actors, directors and audio engineers.
• Collect, organize and track paperwork for tax purposes, payroll, and union documentation.
• Prepare payroll summaries, NDAs, union contracts and freelancer contracts.
• Input vendor timesheets/worked hours in the database for monthly vendor invoicing.
• Assist with asset management by downloading, tracking, watermarking, and distributing materials during all phases of production.
• Ensure that the recording studios are always stocked and tidy.

Requirements

• Passion for Dubbing.

• Demonstrable experience in Production Scheduling and/or Coordination positions for 2+ years.
• Excellent written and verbal communication skills in Brazilian Portuguese and English. (Spanish/French is a plus)
• Excellent command of the Office Suite and other databases, Aspera and Google Suite.
• Ability to adapt to evolving workflows and new tools.
• Familiarity with streaming and media & entertainment, film, tv, and animation markets.
• Excellent people skills and capacity to communicate in a clear, concise, professional, and effective manner.

Preferred Skills:

• Knowledge of Dubbing Workflow.
• Knowledge of Post-Production lingo, file formats and good command of file transfer systems.
• High level of organization, detail orientation and ability to time-manage across multiple deadlines in the execution of projects.
• Outstanding ability to take initiative and utilize available information to move a task forward, adapting as needed.
• Able to work under pressure and meet deadlines in a fast paced, complex environment.
• Able to manage sensitive and confidential information.
• Must demonstrate stellar interpersonal and communication skills when interacting with both internal staff and external vendors.
• Able to teamwork in a proactive and positive manner to achieve shared objectives.
• Highly collaborative, resourceful, quick thinking, curious, with great calm and a good sense of humor
