Freelance 3D/2D Art Coordinator (REMOTE)

WHAT YOU'LL DO
As the Art Team Coordinator, you will be the active link between the artists and Production through daily monitoring, active communication, and leadership.
- Provide clear reporting and support to the Sr. Producer and align on priorities, track multiple project assignments, and plan upcoming ones
- Maintenance of the Asset Manager on the server in collaboration with the Sr. Producer and the artists. Support the quality check of assets coming to the Art Team from external partners
- Daily management of projects on Ftrack: update project status, check for latest materials, and add elements for projects. Manage files on the server and assign artists to tasks
- Keep track of the day-to-day updates coming from Brand partners and Creative Services through Jira, Teams, and email. Communicate with Sr. Producer to determine action items for the Art Team based on comments
- Provide or seek solutions in case of delays or scheduling changes and escalate to the Sr. Producer to evaluate impact on current work and team assignments
- Establish processes that promote performance, quality, and effectiveness, ensuring adherence to best practices to meet production milestones and deliverables. Maintain backend optimization of processes and inhouse data management on Ubisoft servers
- Organize review rounds on Ftrack for project meetings. Take notes and report back to artists to meet production deadlines and expectations. Provide necessary key material and technical support to the team in a timely manner
- Work with Sr. Producer to organize meetings with project team members, Art Directors, and/or Brand
- Gather and prepare materials for outside reviews: Brand, ESRB, Authenticity, and Legal
- Coordinate and package production deliverables to Sr. Producer. Ensure on-time and to-specification delivery to clients. Archive projects upon completion
- Work with IT to maintain artists’ computers to ensure necessary updates and avoid slowdown of work due to technical issues
- Ensure the team’s continuous improvement with motivation, constructive feedback, and proactive conflict resolution
Qualifications
WHAT YOU'LL BRING
- 2+ years of professional experience as a coordinator for Key Art, Feature Films, and/or Episodic in VFX is required
- Proficiency English language, French a plus
- Must be able to work anywhere in US and work EST timezone
- Collaborative; has the ability to manage day-to-day tasks of diverse teams, while effectively communicating with the team on decisions and direction
- Working knowledge of 3D production and post-production pipelines
- Basic understanding of 2D (Photoshop) and 3D software (understand concepts of UV, textures and shader - not necessary to perform)
- Excellent computer skills: MS Office, especially Excel, Smartsheets, Jira, TEAMS, and assets databases like Ftrack or Shotgun
- Basic knowledge of FTP software like BOX, Media Shuttle, etc.
- Ability to manage temporary/freelance artist working remotely
- Candidate is highly organized and detail oriented, enjoys working and adapts easily in a fast-paced creative team environment
- A proactive personality with a strong willingness to learn and grow
- Exceptional written and verbal communication skills are essential
- Passion for video games a plus
