About the Role:

We are looking for a Facility Coordinator to organize and coordinate office operations and procedures, in order to ensure organizational effectiveness, efficiency and safety.

Key Activities

  • Perform facility activities including coordination of general mainten ance, repairs and housekeeping
  • A ct as primary liaison for building maintenance issues
  • Coordinates supply needs for all employees
  • Oversees new hire process is followed and new hires have the appropr iate equipment, furniture, and supplies on their first day of work
  • Coordinates office and workstation moves and adjustments with I T, department manager and employee
  • Managing building maintenance daily operation
  • Cost control, resource management and planning for building management related issues
  • Vendor management
  • Assist in procurement of spares, consumables and building management related services
  • Managing projects concerning rearrangements of office space in accordance with business need
  • B ooking transport and accommodation
  • M anaging office budgets
  • E nsuring that health and safety policies are up to date
  • Serve as the point person for maintenance, mailing, shopp ing, supplies, equipment, bills and errands
  • Partner with HR to maintain office policies as necessary
  • Organize office operations and procedures
  • Manage relationships with vendors, service providers and landlord
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Manage office budget, ensure accurate and timely reporting

Desired Skills and Experience

  • Proven office management, administrative or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organisational and planning skills
  • Proficiency in MS Office
