Key Accountabilities:
- Responsible for the facilities management of the Liverpool Studio, ensuring the smooth running of day-to-day activities and management of all service providers and contractors, resolution of issues quickly and effectively to maintain a safe and pleasant environment for employees and visitors.
- As directed by the Universally Speaking General Manager Wyboston follow the contractor approval process and permit to work systems in place at the Liverpool building, following Universally Speaking's best practice requirements.
- Meet regularly with contractors, such as cleaning, security and on-site maintenance, to ensure standards are maintained.
- Liaise with the Universally Speaking General Manager Wyboston and Liverpool Property Manager, to ensure facilities contracts fulfil our needs and expenditure is managed.
- Owned and led by the General Manager Wybston, implement and review risk management and disaster recovery policies and procedures to ensure the continuing safety and protection of the Liverpool Studio its employees and visitors.
- Develop and maintain close working relations with all onsite managers to facilitate the flow of information and ensure that maintenance requirements are managed proactively and effectively.
- Working with the General Manager Wyboston, liaise with the security team to ensure the smooth running of day-to-day security, developing and implementing processes and coordinating risk assessment.
- With the General Manager Wyboston, organise fire training, drill practice and first aid requirements for the studio, in order to ensure all employees are fully conversant with procedures and that health and safety and environmental issues are managed correctly.
- Work with the General Manager Wyboston to secure all utilities services at the studio, such as electricity, gas and water, in order to ensure quality of service, cost-optimisation and best practice implementation.
- Led by the General Manager Wyboston, liase with relevant external bodies to keep up to date with changes in relevant health, safety and environmental legislation and fire & building regulations, ensuring compliance with legal requirements and Universally Speaking best practice standards.
- Ensure full implementation of Universally Speaking's health, safety, and sustainability policies within the Liverpool Studio.
- Working with the General Manager Wyboston and HR Manager Wyboston update all relevant Corporate Risk Registers in a timely and accurate manner.
- Work with General Manager for all office related and required purchases, following purchase approval processes.
- Health and Safety - Working with the General Manager based in Wyboston Accountable for all H&S liaising with the General Manager and People team to ensure robust work practices and address any actions required.
Measures of Performance:
- All contracts, policies and procedures are compliant and applied
- Direct Reports have objectives that are aligned to the plan
- Key project deliverable and benefits are realised within agreed timescales
Requirements
- Ability to work at pace and to tight deadlines
- Demonstrable experience of acting as a Facilities/Office Manager
- Exceptional written and verbal communication skills
- Experience of working effectively during rapid growth/change.
- Proven experience in relationship building with senior stakeholders and coordinating different agendas
- Pragmatic, well organised, pro-active and commercially astute
- Analytical, able to understand and present key numbers and KPI’s
- Attention to detail
- IT skills: Advanced level Word, Excel, PowerPoint and Outlook.
