Role Overview:
To support the Senior Facilities Manager and Head of Facilities in their roles to manage and maintain the day-to-day operations of SIEE properties.
Proactively work towards promoting a sense of pride in the Facilities team and delivering a professional and efficient service.
Day to day Management of the Facilities team with regards to service delivery. Ensure the building is always kept to a high standard and complies with health and safety and environmental legislation.
What you'll be doing
Working with Senior Facilities Manager as appropriate to:
- Manage outsourced service contracts (Security, Cleaning, Catering and Maintenance), ensuring the highest quality of service is always delivered.
- Ensure all aspects of the Facilities Management functions are being performed to a high standard.
- Line Management of FM team - carry out annual appraisals and provide guidance as and when needed.
- Chair monthly meetings with key stakeholders
- Manage outsourced service contracts, ensuring the highest quality of service is always delivered.
- Track, monitor and report on performance against agreed SLAs, KPIs and other targets (financial, operational, and contractual).
- Promote Covid-19 safety protocols and ensure that these are strictly followed.
- Management of Facilities Helpdesk and mailbox
- Produce monthly Helpdesk reports.
- Facilitate, organise and project manage office moves and building works including space planning.
- Complete ad-hoc projects / tasks as required.
- Assist with the management of Environmental matters to ensure targets are met and any issues are resolved.
- Prepare for Health & Safety and Environmental audits
- Review and update health and safety risk assessments
- Ensure the building is kept up to date with the correct number of Fire Marshalls and first aiders that are fully trained.
- Carry out workstation assessments (DSE)
- Organise staff inductions and issuing of access cards for new starters.
- Ensure that Facilities and SIEE Procedures are adhered to.
- Ensure signage on site is appropriate and up to date.
What we're looking for:
- IOSH/NEBOSH qualified
- AutoCAD (desirable)
- Previous experience managing and developing teams in high profile organisation
- Demonstrated ability to lead projects
- Able to communicate effectively with all levels of staff, both verbally and written
- Flexibility and adaptability
- Excellent organisational skills
- Good customer service skills
- Ability to work under own initiative
- Good IT skills including Microsoft Office
