Facilities Coordinator

The Facilities Coordinator plays a meaningful and valued role. You are a dynamic, customer service-focused individual who works fast, pays attention to the details, and strives at all times to assist each studio and office, build and maintain the very best polished and well-kept environment possible to attract and retain the best talent and assist in producing and supporting the best games. This position will support key stakeholders in the Toronto office, and reports directly to the Regional Facilities Director. This position will coordinate all facets of the day-to-day facility upkeep and maintenance, and may be assigned special areas of focus such as Construction, Event Support, Inventory, etc., but is encouraged to be cross-trained in all related disciplines.
Responsibilities:
- Function in lead role and provide facilities support to the Toronto studio
- Manage, track, and respond to all Facilities tickets (requests) as they come in
- Quickly and efficiently respond to all employee inquiries, complaints and requests; Ensure timely and quality service delivery to every employee. Follows up with employees to ensure complete customer happiness
- Responsible for meeting room set up coordination, maintaining office appearance and upkeep, such as; Addressing minor paint, wall repair, and carpet issues as needed
- Assists Facilities Regional Director and local Business Operations Manager with coordination of requests for office remodels, reconfigurations, and moves
- Understand budget and forecast and the tracking of spend for facilities
- Manage, and maintain stock levels at each printer station, kitchen, conference room, and supply cabinet
- Maintain relationship with property management and Landlord regarding building
- Submits accurate and timely help tickets to the property manager for repairs or attention required outside the realm of skills and responsibilities
- Proactively source maintenance contractors as needed for equipment repairs, non-warranty property work that is outside the abilities or scope of the property manager’s engineers: Assisting the Facilities Director in the quoting, bidding, negotiating, purchase request/PO process, and supervision of vendors as needed or directed
- Understand the importance of vendor negotiations and rapport to keep costs under budget limits while retaining a high level of service and attention to detail in all products received
- Assists in space planning: Occupancy vs Capacity of local office
- Works closely with Security and Safety to ensure all protocols are met
- Runs and maintains the Health & Safety program for the studio
- Set up of desks for new hires and providing building office tours
- Maintains updated cube signs, meeting room placards, and special event signage
- Ensures all copiers, shared printers, and plotters are maintained and well stocked at all times; Reports and supervises all repairs as needed
- Provides housekeeping support as needed during normal business hours
- Available to respond to building emergencies 24/7
- Confirms accuracy of invoicing from vendors/contractors and direct invoices to Invoicing Specialist for accurate approval and processing
- Shipping and receiving – Assists in delivering of packages if needed
Desired Qualifications:
- High School Diploma or equivalent preferred
- College coursework or equivalent experience, in a related area preferred
- Office/Facilities knowledge regarding furniture systems, building systems, and floorplans
- Must have basic knowledge of office technology – i.e. video conferencing, basic equipment troubleshooting.
- Administrative or office experience in related field desired
- Task management (Overseeing multiple tasks/projects simultaneously and maintaining a consistently high level of output)
- Listening and learning (Ability to assess priorities quickly, and become proficient with protocol, culture and processes)
- Problem solving (Takes initiative and goes beyond established framework; looks for new ideas and creative solutions to overcome challenges)
- Ability to work in a team environment with a customer service focus
- Strong communication skills, both written and verbal
- Ability to handle confidential and sensitive information with the appropriate discretion
- A polished and professional demeanor; Able to comfortably manage clients with strong emotions or unreasonable timelines/deadlines
- Vendor management skills (fearless on the phone and at complete ease asking for deliverables, refunds, credits, etc. in a calm and professional manner); able to drive vendor relationships to strategic end
- Creative-thinking and problem-solving skills; able to think outside of the box, propose and then execute approved processes, and resolve issues as they arise within all company policies and best practices
