Naughty Dog is seeking an Executive Assistant to support the current Leadership team of five members: two Co-Presidents and three Vice Presidents. Our ideal candidate has a passion for business planning, project management, and supporting organizational initiatives. They will be a trusted advisor with responsibilities focused on making time, information, and decision processes more helpful for the leadership team. This is a meaningful role with high visibility and the opportunity to contribute to the growth and success of the studio.
Responsibilities:
- Scheduling and monitoring meetings, flagging conflicts, and proactively reviewing calendars to anticipate conflicts and coordinate rescheduling
- Support planning, content creation, and production for town halls, internal and external meetings, conferences, and off-sites
- Serve as a key facilitator and provide logistical support for meetings and events when needed, working in collaboration with Operations, IT, Communications, and any external parties, as relevant
- Ensure meeting materials are prepared and delivered in advance; develop and source pre-read materials to ensure members of the leadership team are prepared for key internal and external meetings
- Project management of some leadership team initiatives, including facilitating collaboration, ensuring deliverables and deadlines are met, and working with the Production team to allocate resources, if needed
- Attend leadership meetings to track decisions, drive action items, and assist in disseminating information to all relevant stakeholders directly
- Coordinate with internal and external teams working on change management; partner with internal HR and/or HR Business Partner when relevant
- Partner with Communications Team to support the leadership team with all their internal and external communication
- Support leadership team with the annual planning process and the execution of key initiatives and tasks
- Develop and maintain leadership team content on various internal communication platforms (Confluence, etc.), archive relevant notes and materials for future reference
- Manage domestic and international travel logistics (mobile technology, passport, visa requirements etc.) and manage travel schedule, meeting details, etc.
- Maintain expenses. Gather all documentation to identify appropriate path to execute reimbursements.
- Completed other relevant duties and tasks as assigned
Requirements & Skills:
- 5+ years of experience working as an assistant to business heads, leadership teams, or C-level executive offices; or in program management, consulting, or similar field
- Excellent organizational and time management skills, ability to prioritize and multi-task appropriately and independently, attention to detail
- Strong interpersonal, verbal/written communication, and presentation skills; cultural sensitivity to work with a diverse, international team.
- Demonstrates initiative; proactive with an ability to work independently
- Creativity and out-of-the-box thinking; willingness to learn, strong critical thinking and problem-solving skills
- Open and collaborative approach to their work; comfort in a fast-paced organization while navigating ambiguity and change
- Ability to work concurrently on and effectively prioritize a variety of projects. Adaptable and able to handle multiple tasks and priorities
- Highly proficient with relevant software including Office 365, GSuite, Concur, among others
- Experience handling confidential information with a high degree of integrity
Bonus Skills:
- Experience working on large-scale, cross-organizational, and complex enterprise initiatives
- Experience with Confluence, Jira, and other similar platforms and tools
