Summary
The Executive Assistant provides high level, confidential executive support to several of our Executive Team members. This role requires exceptional attention to detail and organizational skills, as well as the ability to multi-task and perform well in a fast-paced environment. The ideal candidate exercises discretion and independent judgment with limited supervision.What you'll do
- Dedicated executive support for several executive team members and various team members
- Provide backup support for Sr. Manager, Executive Support on flow-over project work and day-to-day workload as needed
- Track and help drive completion of key deliverables and follow up on outstanding items
- Manages an extremely active calendar of meetings and appointments by planning, coordinating and ensuring schedules are followed and respected by keeping leaders well informed of upcoming commitments and responsibilities, following up appropriately.
- Oversees event management and planning via Zoom and/or in person, arranges detailed travel plans and meeting accommodations
- Prepares monthly expense reports in a timely manner while ensuring compliance to company policy
- Routing of invoices and follow for approvals to be submitted to Accounts Payable
- Prepare and modify documents including correspondence, reports and presentations
- Other clerical duties as needed
What we're looking for
- Minimum of 5 years of experience supporting executive level leaders
- Proficient in travel and expense report programs; Concur preferred
- Experience with Microsoft Office Suite including Outlook Calendar
- Experience with Google Docs
- Strong organizational skills – ability to work independently within a fast-paced environment
- Strong event planning, administrative and organizational skills with excellent attention to detail
- Excellent verbal and written communication skills
- Able to multi-task and work independently with minimal supervision
- Very strong interpersonal skills and the ability to build relationships with stakeholders
- Strong problem-solving and decision-making skills
- Must be located near the Greater Seattle Area; can work remotely but must be able to come into the office for ad hoc tasks/events.
