Reporting to the Chief Compliance Officer, this role will see you in a high volume and fun team environment. We require a confident Executive Assistant to join our Compliance team, this role will be perfect for someone who loves variety and is ready for a fast-paced role.

- Coordinating the agenda, minutes and matters arising for weekly Compliance Leadership Team (CLT) meetings including managing necessary follow ups
- Planning agendas for global Compliance Town Halls, sending out invitations and booking meeting room facilities for the meetings, preparing powerpoint presentations for the Chief Compliance Officer (CCO), coordinating presentations required from the CLT and assisting with pulling together relevant decks, engaging with and briefing guest speakers, taking notes and circulating actions after the meetings
- Diary management for the CCO and the Manager for AsisPac including ensuring relevant papers are available for meetings, following up with meeting organisers for agenda and pre-read materials
- Attending meetings as the CCO’s proxy when the CCO is unavailable to attend
- Collaborate with Senior VP’s, VP’s, EA’s and other key team members across the global organisation, particularly in APAC, US and Europe and across the land and digital businesses.
- Maintaining a constant interface with the CLT to ensure that key issues are proactively addressed
- Preparing and distribution Regulator Notices
- Managing probity obligations for all employees globally
- Managing training obligations for all employees globally
- Assisting with the management of risk metrics
- Coordinating the Australian Compliance team’s travel schedule and managing team expenses
- Handling data, communication and projects that are highly confidential with discretion
- Special projects that may be on-going
- Monitors projects or tasks that must be accomplished in conjunction with the CLT
- Preparing reporting materials and/or reports for regulatory compliance
- Assisting with onboarding of new hires including liaison with other functions such as P&C and IT
- Coordinating all regulator/police visits to the building
- Maintaining office presentation and managing all office supplies and needs

- Proven experience with MS Office Suites and excellent written skills
- Excellent communication skills and the ability to engage with all levels of stakeholders
- Proven experience being one step ahead and understand how to prioritise tasks
