Summary
The People and Culture Coordinator serves a critical collaborative role with primary responsibilities requiring a high level of confidentiality, discretion, and judgement, with significant operational impact in the United States. Reporting within the P&C Global Operations team, the successful candidate will be located in our Las Vegas Integration Center to directly support the employees working within this location. The successful candidate will work closely with the People & Culture Business Partnering, Recruitment, Payroll, IT and P&C Operations teams to ensure efficient and effective processes throughout the organization.What you'll do
- Is the point of contact for employees working in the Las Vegas Integration Center regarding employee People & Culture requests and inquiries
- Provides quality employee service in response to all P&C, payroll and benefit inquiries made in person, via email or other intake channels from employees, managers, business partners or external business contacts
- Works with other functional support areas to provide resolution to employee inquiries
- Communicates effectively in both oral and written form accurately and timely
- Utilizes a case tool for the input and tracking of all service inquiries and requests and meets service level agreements for case resolution
- Works efficiently to inform, transact or resolve requests by using procedures, policies, FAQs, knowledge base and other reference material and artifacts to assist in answering inquiries
- Collects and validates complete data required to process employee transactions and escalates if assistance is needed
- Perform various People and Culture related tasks and answering inquiries as needed, including:
- Coordination of incoming and outgoing employee administration
- Employee and HRIS Data administration
- Responding to employee issues/inquiries on benefits, Policies, Workers Compensation etc.
- Training inquiries
- General payroll inquiries
- Generation of People & Culture related reports as necessary
- Leave of Absence and Personal Time Off Administration
- Lead the I-9 and E-Verify processes, serving as the expert with regard to requirements, updates, and legal impacts; work with the Manager to analyze processes, suggest improvements, minimize errors, and increase efficiency
- Supports unemployment claims, gathering pertinent information and documents through working with the People & Culture Business partners
- Create, send, and facilitate all new hire communications and facilitates orientation
- Liaise with various departments including IT and Talent Acquisition to manage new hire activities such as technology pickup/shipment
- Manage on site temporary direct labor vendor relationship
- Support the exit process for employees leaving the organization (retirements, resignations, terminations)
- Ensure proper record keeping, and the confidentiality of cases and employee information as well as the integrity of HRIS data.
- Assist with enriching the future knowledgebase by incorporating employee feedback, issues and FAQ
- Meet departmental metrics and performance scorecard requirements.
- Determine opportunities to automate and streamline processes, resolve any issues candidates experience until hired
- Other duties as assigned
What we're looking for
- Bachelor’s Degree or a minimum of 2 years related experience in a P&C functional team operating as a P&C Coordinator providing employee support preferably in a warehouse, manufacturing, assembly or trade floor environment
- Strong customer service experience
- Proficiency in Microsoft Office; Workday, ADP, Case tool and/or Equifax Unemployment
- Proficiency in payroll, time entry, time off, W2, W4, paycheck, welfare & retirement benefits, general P&C knowledge
- Able to be punctual and on-time based on set hours of operation
- Professional etiquette, demeanor, verbal skills and writing ability
- Excellent facilitation, organizational, and relationship building skills
- Ability to self-start, work independently, evaluate options, and make plans to achieve outcomes
- High degree of confidentiality, discretion, and judgement
- Able to identify operational trends or gaps and recognize situations requiring escalation
