Business Operations Specialist (Contractor)

The Learning Operations Team within EA's Learning, Engagement, Analytics and Performance (LEAP) team focuses on supporting top quality learning content for everyone at Electronic Arts. As part of that strategy, we focus on understanding needs and coordinating business contracts, budgets and more for the LEAP team.

The Business Operations Specialist will work with and maintaining relationships with our partners including vendors, legal, accounting, and security and managing the LEAP budget. This role reports to the Sr. Manager, Learning Operations.

• Vendor management. Work with our legal partners to set-up vendors observing EA policy and practices including set-up, purchasing order management, invoice management.
• You will partner with Leaders and Program Managers to manage all vendors including logistical, billing, and further inquiries; and their onboarding process into EA and their off-boarding process
• You'll be the maintaining LEAP's Contracted Services list, providing notes and recommendations per vendor and having a holistic view of all vendors, services, specialties, rates and teams.
• Understand the changing terms of the definition and policy for contingent workers and ensure that LEAP is in compliance with those terms
• Work with Legal and People Experience to review contracts and terms to ensure compliance.
• Work with Accounts Payables for vendor set-up with Purchase Order that follows our policy and also for making payments, monitors to ensure the team is in compliance with Auditing.
• Manage internal software platforms by adding users, yearly renewals and contracts.
• Work with our Finance partners to manage LEAP budget, which includes budget management by LEAP program
• Oversee LEAP's budget per planned and actuals on a daily basis, by tracking all actual and projected expenses
• Lead payment processing on PO, Invoicing, Meeting Card, Expense Reporting
• Update LEAP's leaders on their budget monthly and advise on overall spend
• Meet monthly with LEAP Leaders to provide an update on actual versus plan and where we may need to move funds
• Anticipate overspend and under-spend quarterly and provide recommendations on where to off-set surplus and deficits to balance the budget
• Meet with the Finance Partner to assure proper tracking and collaboration.

Skills

Qualifications

• Bachelor's degree or equivalent in a finance/budget management field
• 3+ years of experience working with budgets
• Familiarity with vendor management
• Familiarity with invoicing/PO
• G-Suite familiarity with Docs and Sheets
• Familiarity with AirTable
