Business Operations & Administrative Manager – Workplace Experience Team

We are seeking a highly motivated, detail oriented, seasoned Business Operations & Administrative Manager for our Workplace Experience team. In this role, you will partner with stakeholders across the business to enable communication, collaboration and execution on Workplace Services projects. You will also be responsible for headcount planning, help to facilitate change management programs and project-related communication. You will assist leadership with meeting planning, coordination, and execution. This position will facilitate an array of operational tasks at a global scale. Critical to your success will be the ability to build relationships of trust across functions and organizations and collaborating effectively across teams. Key attributes to this role are being proactive, organized and analytical, while using strong business judgment and communication skills to interact with a variety of people.

Job Functions:

Business Operations:

· Lead and drive cross-functional both short-term and long term strategic projects - defining, prioritizing, creating action plans, monitoring progress, driving results to prescribed timelines, and providing regular status updates.

· Support multi-year business plans (workforce, financial, and operational) targets and scenarios, and understand / apply levers to drive efficiencies and make optimal resource allocation decisions; develop a framework for annual business planning activities to meet schedule and compliance deadlines.

· Create and distribute operations summaries for executive staff, including project statuses, roadmaps, and quarterly studio updates.

· Regularly update and improve communications and processes.

· Encapsulate the direction that drives the team forward, while also acting as the glue to ease communications and unite people.

· Partner with stakeholders to improve and reinforce studio operational standards to drive results and outcomes.

· Work collaboratively with HR and Finance on project scenarios and tracking.

· Aggregate data and Key Performance Indicators (KPIs) provided by Regional Directors for Management and Quarterly Business Reviews (MBRs and QBRs).

· Create reports on data specific to space utilization and attendance using existing tools.

Administration:

· Perform a wide variety of difficult, time sensitive and confidential work requiring a high degree of initiative, responsibility, accuracy, diplomacy, and tact.

· Calendar Management for the VP of Real estate and Workplace, working directly with C-Level Executives Admins. Organize complex calendars and schedules; resolving any scheduling issues.

· Arrange domestic and international travel, transportation and accommodations for executives.

· Prepare and complete expense reports in a timely manner.

· Arrange and organize meetings; coordinate team off sites and see them through completion.

· Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the company.

· Be responsive to emails/texts/phone calls, with contact that may fall outside normal business hours.

Required Skills:

· Minimum of 5 years program management experience.

· Minimum of 5 years working with and supporting C-Level Executives.

· Strong communication skills, including the ability to identify and highlight trends and build presentations that share learnings or the plan to implement improvements.

· As part of a global team and organization, the ability to communicate effectively across diverse cultures and workstyles.

· Ability to synthesize data to create meaningful insights for an executive audience.

· Business minded with a focus on developing creative solutions.

· Ability to work effectively on a variety of projects simultaneously utilizing time management skills to meet deadlines; prioritization is key.

· Ability to create reporting standards and metrics and implement a process for their dissemination.

· Highly proficient in Cloud Services (Google Drive, Docs), MS Outlook, Word, Power Point, Excel. Demonstrated skills in Google Suite Applications, particularly file sharing/collaboration tools.

· Strong individual contributor and team player, with the ability to lead small projects.

· Strategic thinking combined with the ability to execute at a tactical level.

· Exceptional financial, analytical and problem-solving skills.

· Self-motivated, flexible and adaptable, calm under pressure, and anticipates and resolves problems before they develop.

· Confidentiality and integrity in dealing with highly sensitive information.

· Prior management consulting experience an asset.

· Game/entertainment/technology industry experience a plus.

· Must have a workstyle that is service focused and collaborative.
