Expense Service Support Specialist is a part of the service management function of the Expenses team within Accounts Payable. The associate Specialist will be part of the Global helpdesk team supporting day-to-day customer queries relating to staff expenses and corporate credit cards. The Specialist is expected to become familiar with end-to-end expense workflows within Concur, the Travel & Expense policy and procedures. The specialist will be required to provide assistance to client enquiries received through the customer service portal (SNOW) and root cause issues associated with employee enquiries as well as liaise by email to other departments in timely and professional manner.
The service support function serves
as a central point of contact for guidance and policy, system usage and resolution of issues. As a part of the role is to support initiatives and projects with a view to expansion of Accounts Payable services across the Aristocrat Group.What You'll Do
- In-depth understanding of the following processes: invoice processing, payment processing, vendor enquiries, vendor master data, Expenses & Corporate Credit Card, Concur administration, intranet maintenance. Directs the team to deliver accounts payable services to support these processes. Drives cross-training across the team as well as ensuring processes are documented and maintained.
- Providing Guidance on Expense and Corporate credit card related matters. Provide some guidance on travel procedures.
- Provide user training on the T&E Concur system navigation and resolution of issues.
- Maintenance of the current Expenses SharePoint site content.
- Be the liaison point for Citibank and Westpac, our primary corporate credit cards across Aristocrat.
- Activity includes reissues/ renewal of cards, employee terminations.
- Support new employees in setting up their profile in Concur.
- Raise and manage IT tickets relating to T&E system on behalf of users.
- Payroll Deduction procedures
- Redirect to Payroll out of pocket claims for some regions. USA only process OOP via Concur.
- Temporary suspension of corporate credit card for aged unsubmitted transaction within Concur.
- Duplicate Expense claims.
- Monitor Direct debits and recurring payment transactions.
- Continuously improve the Workday to Concur interface.
- Handle delegations of approvals within Concur.
- Assist new user training on T&E referencing the guidelines on the Expenses site as well as Concur resources.
- Providing Guidance on submission of Expense and support documentation including receipt handling.
- Identify root cause behind issues and implement necessary solutions.
- Resolution of audit rejections.
- Manage the improvement of controls around Expense management.
- Support card enquiries and coordination with the card team on any required cards actions.
- Monitor and action tickets raised to the customer service queue through to resolution/closure.
- Supports external audit requirements by preparation of requested audit information, including process walk-throughs, sample evidence, analytics and responding to audit queries.
- Undertaken number of expenses and AP transformation projects. Experience in on-boarding new businesses is valued.
- Coordinate business MI request with the analytical team.
- Support key business priority projects.
- Drive efficiency and identify process improvement.
What We're Looking For
- Degree qualification in an accounting related or similar field
- Concur System working/Admin experience.
- 8+ years relevant experience in a similar leadership role.
