Administrative/Office Assistant

Heroic Signatures is looking for an enthusiastic, high caliber, and exceedingly well-organized Administrative/Office Assistant to assist its team based in Los Angeles, CA. Important: For this role, you will need to be onsite, this is not a remote working opportunity.

Job Position: Administrative/Office Assistant

Start Date: Immediate

Compensation: Full-time or Part-time Salaried (working schedule somewhat flexible)

Location: Los Angeles Area

Specific Responsibilities:

• Perform general office duties such as ordering supplies/food/drinks, stocking shelves, general cleanup, and assisting Office Manager with additional requests.
• Open, sort, and distribute incoming correspondence, including packages and mail, and shipping outbound packages via courier.
• Coordinate office events and activities, as directed.
• Provide specialized administrative support to executive and management staff to relieve complex details and administrative duties.
• Perform administrative tasks such as developing agendas, coordinating meetings, travel, expense, and preparing other reporting.
• Organize activities & events related to employee morale or general corporate items including holiday parties, employee outings, parties, etc.
• Work with highly confidential information or content that is under NDA.
• Purchase equipment/supplies and perform inventory control, including hardware.
• Will be responsible for general office and supply organization.
• Receives, screens, and routes on-site visitors, including NDA and other necessary paperwork associated with such.
• Additional duties may include assisting with contract Administration and supporting Accounting.

Qualifications:

• Administrative Assistant Experience: 2 years.
• Front Desk/Customer Services Experience: 2 years (Preferred).
• Inventory control experience.
• Excellent Communication Skills, across all levels of personnel.
• Positive Attitude.
• Exceptional interpersonal, communication, and organizational skills.
• Detail/multi-task oriented, ethical and responsible team player.
• Ability to coordinate office functions and envision the big picture.
• Proficient use of Microsoft Office Programs (Adobe products a plus).
