Administrative Assistant

Mistplay is looking for an Administrative Assistant to support the executive leadership team, as well as act as office manager for our Montreal office.

Working with the admin team, you will be proactive and organized in assisting in streamlining four executives' calendar management and travel. In this role, you will provide sophisticated calendar management, travel arrangement, and coordination and support the organization by managing our Montreal office.

As someone that possesses a professional demeanor (but still has a good sense of humor), you will use a high level of initiative, good judgment, integrity, flexibility, and problem-solving skills in this role. You will work alongside the administrative team to support the executive team and the organization.

As a growing start-up, this role will play a key part in ensuring that our team can properly manage their time, calendars, and continue to make Mistplay an amazing company to be a part of!

You will be responsible for:

• Assisting 4 executive team members with administrative tasks
• Managing email inboxes and responding on their behalf when necessary
• Organize and manage calendars end-to-end, making sure that there are no double bookings and leaving time to ensure proper work/life balance (i.e making sure they have time to eat lunch)
• Coordinate both virtual and in-person meetings. Preparing the meeting room or ensuring that they have the correct Hangouts/Zoom link.
• Travel planning, out of office meetings and reservations
• Being the extension of the executive team; predicting and planning what will be needed, managing his day-to-day, and being his eyes and ears
• Filing any reports as needed
• Managing communications when required
• Office management: you will own the coordination, organization, cleanliness initiatives, and orders of supplies and food to ensure our kitchen is always fully stocked. You will be the point of contact for all matters of our office, and be a champion for our Montreal office to ensure we always remain presentable and professional - with our Mistplay creativity.

You will be:

• Someone with 2+ years of experience as an admin assistant
• Strong written and verbal communication- English is a must, French is a plus
• Detail-oriented and good time management
• Positive attitude
• Ability to manage multiple calendars
• Ability to set priorities in your work
• Ability to manage highly confidential information; discretion is essential in this position;
• Based in Montreal
• Strong writing and communication skills
