Administrative Assistant

Making sure that the communication with the suppliers and other external entities, that Epic games and 3Lateral are working with, runs smoothly. We are also focused on the internal processes and policies. We are aiming our efforts towards a well organized system. We established the current 3Lateral internal processes and are looking to build a new one for a more efficient and more productive working place.

What You'll Do

We're looking for an administrative assistant to help us in our everyday communication with the suppliers and other coworkers, to coordinate our payment process, to provide support in purchasing, export-import process, inventory etc. As a part of the team, it would be this person’s responsibility to organize and run all internal processes in the most efficient way. The key is to be in line with all internal operations which will ensure a good functional and well-organized team. This position is open as a maternity backfill for 12 months.

In This Role You Will

• Receive all the incoming invoices and manage their payments. Record them in local accounting system
• Take care and manage the payment approval process. Prepare regular reports and documents to all persons in charge of approving payments
• Track advance payments and take care that good/services that are paid up front are delivered
• Collect all invoices and other related documents for regular quarterly reporting to state tax authority
• Check if all the data on incoming invoices are correct and manage the correcting process if necessary
• Creates report for the benefits/care packages given to employees on monthly basis, which is one of the inputs for the gross salary calculation
• Track, manage and store invoices, contracts, and other documents
• Participate in running of the obligatory contracts record
• Provide data for budget spending related reports
• Organize and monitor import/export processes and manage all related documentation
• Create outcoming invoices for the export of the goods, organize transport of the goods, insurance, and other necessary documents. Runs communication with the freight company, couriers, and customs
• Communicate with parent company, accountants, clients, banks, and other related institutions
• Communicates with the legal department for concluding some of the regular facility related contracts
• Have the authorization and perform cash collection from the bank, based on the order given by the legal representative. Run cash register in the accounting system
• Participate in yearly inventory, organize the assigning of the inventory numbers to the fix assets
• Manage business trips in terms of documentation and daily allowance payments
• Organize signing of the regular annual balance documents (IOS) with all the suppliers and helps in reconciliation processes
