Administrative Assistant

ABOUT THE ROLE

• Maintain the on-going, operational effectiveness of the office including receiving visitors and guests.
• Responsible for the cleanliness, organization, and interior decoration of the office.
• Be the main point of contact for the security of our office, including both internal and external vendors and suppliers.
• Liaise with the building management on any facility needs, such as ensuring that the office is clean.
• Responsible for coordinating meeting and travel arrangements for the CEO, CTO, and CBO.
• Work with internal stakeholders to order and expensify office supplies, software, and hardware.
• Maintain and prepare postage, office supplies journal entries, reconciliations, coffee, and snacks.
• Assist with processing payments and preparing invoices as needed.
• Prepare confidential secretarial work as needed.
• Prepare approved purchase orders and maintain copies.
• Backup and support of other office positions and other administrative functions.
• Embody the company mission statement and values to operate a successful team.
• Other duties as required.

• You have 1-2 years experience working as an administrative assistant. (Bonus: If you've worked with a tech startup before!)
• You are an extraordinary communicator (both oral and written) who enjoys helping others, and can say no when priorities require you to do so.
• You are self-motivated and resourceful, you have an ability to multitask and prioritize, at times operating under tight deadlines.
• You have a sharp eye for detail.
• Your customer service skills are excellent, engaging internal and external customers in a positive and helpful manner.
• You are proficient in working with Google Suite.
• You are comfortable in a flexible working schedule.
• You approach your work with a “no-task-too-small” attitude.
• You have a strong sense of professionalism and understanding of confidentiality.
• You empower others to do their best even in difficult situations.
