POSITION SUMMARY
Bandai N amco Entertainment America is looking for a n organiz ed, experienced, and energetic A dministrat ive Assistant to join the Executive team. The A dministrat ive Assistant is responsible for coordinating and directing the general housekeeping of our office, such as shipping/receiving, vendor relationship, supplies and facilities management.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Perform clerical functions for the company.
- Co llaborate with office manager, receptionist, and the other support teams in overseeing the general maintenance of the office: supply office orders, food orders, interface with vendors, furniture purchase s , etc.
- Handle travel/lodging arrangements, respond to inquiries from travel requestors and perform required administrative follow-up and recordkeeping.
- Support meetings or events by arranging facilities and catering, greeting guests, etc.
- Support new expats and guests from Japan by arranging accommodations for their stay such as: reserving hotel s , rental car s, and responding to inquiries etc.
- Manage distribution of documents and goods to the employees.
- Occasional physical labor required; moving of, or assist in moving of, furniture, supplies, etc.
- Perform other miscellaneous job-related duties as assigned.
QUALIFICATIONS/REQUIREMENTS
- Minimum 3 years’ equivalent experience in fast-paced environment
- Fluent in Japanese: r ead, write, and speak Japanese
- Excellent computer skills with Microsoft Office (Microsoft Excel, Word, PowerPoint, Outlook).
- General knowledge of all facets of executive administration, to include phone and in-person business protocol, composition of letters and memos, travel arrangements, scheduling events and all other relevant items
- Excellent written and oral communication, organizational and prioritization skills
- Ability to consistently follow through and take ownership of projects
- Ability to multi-task and respond quickly to changing priorities
- Customer service oriented, with the ability to interact with all levels of the organization efficiently and effectively
- High degree of initiative
- Good judgment
- Work ethic and achiever
- Positive “can-do” attitude
- Interest in video games highly desirable, but not required
BONUS POINTS:
- Minimum 2 year AA Degree with concentration in Business related coursework. Bachelor of Arts or equivalent degree preferred.
EDUCATIONAL REQUIREMENTS
- Experience of using/managing SAP Concur
- Ability to work both independently and cooperatively in a demanding environment
- Ability to understand and to determine priorities and to meet commitments
- Effective communication skills, including the ability to document procedures
- Desire to learn new technologies and to share knowledge with others
