Responsibilities
Office & Reception Administrative:
- Welcoming visitors, general reception and coordinating onsite visits
- Be a point of contact for facility, suite and leasing management communications and office needs
- Track office supply inventory, purchase as needed. Purchase food, equipment, and furniture when needed
- Carrying out clerical duties such as responding to emails, and preparing documents, including office correspondence, memos, and presentations for studio staff
- Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and budget tracking.
- Receiving and Sorting Mail and Packages Daily
- Create labels and schedule for outgoing deliveries
- Assist with team events ranging from staff happy hours to office activities
- Maintaining general office cleanliness
- Help drive our culture initiatives
Team Coordination:
- Provide support and assistance to team members that ensures effective use of time
- Assist all team members with various administrative tasks such as expense reports, travel coordination, purchase requests
- Coordinating and managing team/staff calendars, appointments, meetings
- Support the team for presentations, special projects, and research
About You:
- You’re articulate and have proactive communication skills
- Have the ability to learn names, faces, and processes quickly
- Have a positive attitude and confidence interacting at all levels of the business
- Able to solve problems autonomously, knowing when to ask for help or when issues arise
- Keen eye for detail
Qualifications
- 2 or more years of office administration experience or equivalent. Project Management experience.
- Knowledge and expertise with Microsoft Office Suite, G Suite, Slack and Zoom
- Comfortable handling confidential information
- Excellent verbal and written communication skills
- Able to work independently, under pressure, recognize and resolve problems while maintaining a high level of organization
- Ability to adapt well to changes and environment - handle last-minute changes with grace
- Hardworking and resourceful. Does whatever it takes to get the job done
- Well-developed time management skills
- Strong organizational skills, very detail oriented, able to meet deadlines
- Some driving may be required
- Project Management experience
- High School diploma
- Full Professional proficiency in English
